Create a board from a template, start with a blank board, or clone an existing board.
Use one of the pre-made templates, or start from scratch with a blank board:
You can make a clone of any board in your dashboard.
Cloning a board copies everything on the board.
If there was an active meeting on the board you will become the Host on the new board.
If you have boards from v1, you can view these in your v2 dashboard. Go to Legacy Boards to view your old boards:
Metro Retro boards have two modes, Design Mode and Meeting Mode.
Design Mode is for editing the board layout, and Meeting Mode is for collaborating with others. Each mode has a unique set of controls available, and the left toolbar changes to give you the appropriate tools for each.
As the Host, switch to Design Mode at any time to edit the board layout. Everyone else remains in Meeting mode while you make your changes.

The Dashboard is where your boards are stored. From here you can:

You can create a board using one of Metro Retro's in-built templates, or start from scratch with a blank board. When you create the board you will start in Design Mode, which gives you the tools to build and edit your board layout.
Everything on your board is editable and can be locked or unlocked.
Zoom in and out with your mouse wheel or trackpad. If this is not working as you expect, change your Mouse settings in the Preferences.
Move around the board by clicking and holding the left mouse button down, to pan around the screen. Or you can hold the spacebar and click and drag to pan around.
Double-click anywhere to create a sticky note and write inside it.
Use the left toolbar to create objects - sticky notes, index cards, topics, voting, reaction tool, marker pen, tokens, and comments.
Use the "Gestures" tools at the bottom of the left toolbar to present, orient and guide people around the board.
Simply share your board URL with others to invite them to your board. Once they join the board you will see their avatar moving around the board in real-time!
Enter Meeting Mode to switch to the collaboration tools (you will see the left toolbar update) and enable Private Writing. You become the Meeting Host and get access to the Host toolset including a Timer, Polls, Anonymous Mode, and Ready Check. Everyone else is designated as a participant.
The Meeting Host can switch back to Design mode at any time to edit the board layout. Participants will stay in Meeting mode:
At the end of the session, you can export data from your board to CSV or html table format to use in your favorite backlog tool or Wiki. (Image exports and integrations coming soon!)
Your boards are stored in your dashboard indefinitely, they do not expire or auto-delete.

Metro Retro is a collaborative online whiteboard for running interactive meetings and workshops.

We've made some major updates to Metro Retro recently and if you're new, or your team has recently been transferred to our latest release then this page of guides is for you.
We'll be updating our entire Help Guide site soon but while we do that, these are the important things to know.
The new dashboard has been updated to provide a better team space, improve template browsing and saving favourites. The re-design also paves the way for future features like actions, mentions and notifications.
Use the 'quick-start' strip at the top of your dashboard to browse templates and create new boards for your meetings.
Folders help you to keep boards organised.
Team profiles can be seen along the top of the dashboard, if a team mate is in a board you will see the board icon next to their picture and can click to join them.
When you create or join a team, everyone is a member, and can see all boards and create new boards.
Teams can have a maximum of 20 members.
If there are multiple teams in one space (Business plan), members can cross-visit a board in another team if invited, but cannot access the rest of the boards in the other team.
With our latest release we have discontinued the Free Plan and introduced 3 new plans. All new accounts will also be placed on a 30 day free trial before you need to choose which plan to continue with
1 team only. $39 per month. Perfect for a single team of up to 20 members. Includes all the essential tools you need to collaborate in your boards.
1-20 teams. Starts at $59 per team per month. Add multiple teams to your space, and get centralised admin and user management, SSO integration, Jira integration, collaborate with external guests.
20+ teams. Priced per user. When your organization needs more than the Business plan, the Enterprise plan is available.
Customers on paid plans are unaffected and will continue on their current plans for now.

Teams who were on the Free plan have been placed on a free trial of the new team plans. They have 30 days to continue using Metro Retro for free, and then they need to pick a plan to keep using their team space and boards. Their boards will still be accessible after the trial ends, but in a read-only mode.
Sharing & inviting collaborators
To add other people to your board, just share your board URL with them.
Depending on your plan, the people you invite will either join the board as a team member or as a guest - both can participate.
If you are on the Free plan, everyone joining your board will need to sign-in and will be added to your team automatically. Joining the team grants them access to your dashboard and all boards inside it.
For those on a paid plan, if the person joining the board is not already a team member, they will join the board as a guest. Guests can choose to sign-in or use a temporary profile. A guest will only have access to the board you shared with them.
You can pre-invite people to join your team from the dashboard or the Admin settings.
Boards on a paid plan are protected by default, so only members of the workspace can access the board immediately. Anyone else that joins a protected board will be placed in a waiting room and has to request access to join the board. A paid member must be on the board at the same time to grant them access.
Paid plans can allow instant access to a board by changing the Join setting on your board:
External collaborators can ask to participate on a board as a "Guest" - this allows you to work securely with people outside your team, such as clients, partners, and external contractors.
Share your board link with the intended guest. Depending on your sharing settings (see the top of this page 👆) the board will be visible or protected.
They can then choose to sign in or use a temporary profile.
If the board is protected you will get a notification on the board that someone is waiting to join.
They will join the board and can participate.
Guests use all tools enabled for them by the Host, such as sticky notes, pen, images etc.
Guests cannot:
Create boards
Start, edit, or run a meeting
Switch to Design Mode if a meeting is running
Use Host controls
Change the Sharing settings
Manage the access of other Guests
See the organization dashboard or workspaces
Guests only have access to the board that is shared with them - they cannot access your workspaces or dashboard.
A temporary guest profile is saved as a cookie on the user's device, meaning they can use the same guest profile across multiple boards and sessions within an organization while the cookie is saved on that device. They can later claim the account by signing up with an email and password.
Guests are free of charge and are available on the paid plans. They are not available on the Free plan.
The Business plan has unlimited guests, while the Pro plan allows up to 10 guests per board.
If you want to add more guests to a board but the Guest slots are all taken, then you will need to remove existing Guests from the board, or talk to us about extending your Guest limit.
You can remove Guests from a board at any time through the 'Manage Access' option in the Share settings:
Guest support and board privacy are premium features and not available to organizations on the Free Plan. Boards created under the Free plan will be always open to anyone who has the board link, as they were in the original Metro Retro.
Boards on a Free plan can be viewed by anyone, in a read-only state. In order to participate on a board, viewers must sign in to the organization as a team member. This also gives them access to all workspaces in your organization, and they can create their own boards in your space.
When you start Meeting Mode on a board, you become the Host and get access to at the top of the board. Everyone else becomes a participant and cannot edit the board layout.

A guest can change their own name on the . They can navigate there by clicking the Metro Retro logo in the top left, then clicking 'Account'. You cannot change a guest's name for them.
You can upgrade your organization space to a paid plan to get access to guests and security features for your boards. Security features include private folders, sharing options, to restrict who can join the organization, and integration with your single sign-on ().
You must be in Design mode to build a board or customize the layout.
You can build completely custom board layouts with Metro Retro, whether it's for unique retros or complex workshops. The Shape tool, Zone tool, Text tool, and Image tool give you all the basic components needed.
Zones are the basic 'container' for sticky notes. Most of the retro templates use zones. Zones have the option to override the color of sticky notes inside them.
You can use shapes to build custom layouts, or for general whiteboarding.
Use the text tool to add headings, labels, and instructions to your board.
You can upload images directly from your computer, or copy & paste from anywhere. You can also link to GIFs, and search through an image library (Pixabay).
Shapes, text, images, and arrows can be rotated. Move your mouse to the outside of an object's corner, then when the cursor changes to two arrows, click and drag the object around.
Objects can be nested inside each other, so that when you move the parent object, everything inside it moves too. Great for more complicated layouts.
Objects have a 'Container' property that controls this - if turned off a shape will not contain any of the objects inside it.
Bring objects to front or back of each other. Right-click an object to access the context menu.
You can also use the keyboard shortcuts: Shift

Rotate objects by moving your cursor just outside any corner until you see the cursor change to rotation arrows, then click and drag to rotate the object around its central axis. You can also rotate multiple selected objects in the same way. You cannot rotate sticky notes, index cards, groups or tokens.
Use Undo & Redo if you make mistakes.
Note - you cannot undo other people's actions because each person's actions are captured separately.
You can clone objects by selecting them, then press the Alt
key and any direction
key together. Alternatively, hold the Alt
key and drag from the object - a clone will be created.
You can copy & paste an object or multiple selected objects. The new copy is placed directly on top of the original.
Using the countdown timer
Metro Retro has an inbuilt timer to help you manage your whiteboarding sessions. Your board must be in Meeting mode to use the Timer:
Switch into Meeting Mode.
When in Meeting Mode, click "Meeting in Progress" at the top of the board to access the timer in the facilitator controls.
Set your time and start the timer. It will countdown from your set time. Everyone on the board can see the timer.
The Host controls are available when Meeting mode is active, and they help you run a productive collaboration session.

Hide Identities allows you to make all participants anonymous, and to stop Metro Retro tracking what they wrote or where they voted. When Hide Identities is on:

Hide Identities is a mode that you can turn on and off, to use whenever you need - whether for the whole session or just one activity.
Enable Hide Identities from the Host controls when you have a meeting active.
From then on, anything written or voted on when Hide Identities is active stays that way, forever. Nothing can ever be tied back to an individual.
When you’re done, turn Hide Identities off to go back to regular mode, where all new contributions and votes are tracked again.

In short - we don’t believe anonymity should be default for team sessions, but we recognize that anonymity can be a useful tool in certain scenarios:
helping newer teams raise awkward issues
reducing bias like zombie groupthink, or the HIPPO effect
is another useful tool in a facilitators toolbox
There are two ways to import data into your board:
From text - just copy and paste directly into the board. Each new line is a sticky note. Simple!
Data - Drag & drop or copy/paste a CSV file or tabular data onto the board.
If you want to import structured data to a board, you can drop a .csv file onto a board (or directly paste the .csv data). You then map the data columns to board elements like stickies, zones, topics, tokens or task cards.
Drop a CSV file on to the board, or paste the CSV data copied directly from the file.
Note - You cannot import Excel (.xls) files yet.
Select the object types you would like the data imported as, choosing from stickies, zones, groups index cards, and tokens.
Confirm the import and your data will be automatically created on the board for you.
Tip - You can undo an import with Ctrl + z
, or use the undo button.
You can view everyone on the board in the participant list on the right-hand side of the board.
You can follow anyone on the board. Click their disc in the participant list and click ‘Follow’.
Your view will mirror theirs as they move around the board and zoom in and out.
The person you follow is informed that you are following them.
You can still use all your tools while following someone.
Click ‘Stop Following’ to finish following that person.
Highlight people's content and votes with the Spotlight. Click on a person in the participant list to find the Spotlight option.
You can highlight objects or votes.
You can switch between people with the left and right arrows in the Spotlight menu.
Other people on the board cannot see your spotlight
This is one of our favorites - it's great for pointing to a place on the board.
Press the Tab
key to drop a ‘Look Here’ arrow. The arrow stays on screen and will disappear automatically after a few seconds.
Hold the Tab
key down and drag the mouse to create a highlighted area.
How to enable private writing in Metro Retro
Private Writing allows you to write your stickies without anyone seeing what you are writing. You can write and edit your sticky notes as you need, then only reveal your stickies when you want to. It's great for brainstorming and helps reduce bias or influence among the team.
You must start Meeting Mode to enable Private Writing:
When Meeting mode is on, everyone on the board can write sticky notes in private, and choose to reveal their stickies when they want, with the switcher at the bottom of the screen.
How private sticky notes look to other people:
You can reveal individual sticky notes one by one, by clicking the icon at the top of your sticky notes:
Private Writing can be disabled for everyone by the Host from the meeting controls at the top of the board:
The Meeting Host can reveal other people's hidden sticky notes by right-clicking on the sticky notes when in Meeting mode, and selecting the "Force Reveal" command:

The All Boards view is the default view in your dashboard. From here you can see all the boards you’ve visited or have access to within your organization space. Use the filters in the top right to view your boards or everyone's boards in the Account.
Create boards using the buttons at the top.
Everyone in the Account can see the boards that are created in All Boards.
Accounts on a paid plan or trial can setup private workspaces.
Your Private Boards area is a private workspace that only you can access.
You can invite people to private boards, but all visitors join a waiting room and "knock" to request access to the board - you must be on the board when they request access. If you want your boards to be automatically editable by others, move the board to a shared workspace.
Private Boards are only available to Accounts on a paid plan.
The Legacy Dashboard shows your old boards from the legacy version of Metro Retro. From here you can import them into your team space.
Here you can preview and use all the standard and custom templates in your Organization.
Teams on a paid plan can place their own boards in the Template Library. Any boards placed in the Template Library will be available to everyone in the Organization to use as a custom template.
The Live Now view shows your space's active boards and team members. Boards in private folders do now show here, unless you have access to them.
Use Workspaces and Folders to organize your boards and teams. Workspaces can be set to private or public within your team space.
Workspaces are available on all paid plans.
Anyone with the Admin or Owner role can access the Admin area by clicking on the Organization name in the bottom left.
You can export your Metro Retro board to use in your other tools, like Wikis, emails and backlogs:

Right-click on your selected objects, or anywhere on the board, and select the export command. Export can also be found in the dropdown under the board name.

With the new Jira integration, you can now work with your Jira backlog in your Metro Retro board.
Jira cards can be imported and edited, or new issues can be sent to Jira from your stickies!
Jira items can be imported into your boards as a Jira card and used in any board.
For example, you could review what happened in the last sprint, or send your retrospective actions to Jira.
Or looking ahead, you could run a poker planning session, refine the upcoming backlog, run sprint planning, review and prioritise bugs or technical debt.

Click the board name in the top left, and select "import data".

Your Jira issues are imported and can now be used on the board and edited:
To create Jira items from sticky notes:
Select the stickies you want to export to Jira
Click the "send to Jira" button.
Enter your project ID, then confirm.
Your stickies will convert into Jira cards and be sent to Jira. Note - you cannot choose the issue type yet, they will be created as the default issue type on that project. Once the Jira card has been created, you can change the issue type from your board. Use Bulk Change on multiple Jira cards.
Go to Jira to see your newly-created Jira items!
Deleting a Jira card in Metro Retro does not delete the issue in Jira. It only removes the card from your board.
The default Jira connection is not a real-time 2 way sync, instead the data is updated each time you import data or refresh your board.
To enable continuous 2-way sync, your Jira admin needs to contact us to get this set up.
We need your feedback to know what's missing for your team and how we can improve the Jira integration for you. Talk to us using the support chat in your boards or email us contact [@] metroretro.io.
At least one user on a board must be present and connected to Jira with their Atlassian credentials.
Any user with access to a board can view the Jira issues that have been imported, this includes guests.
Only users that have an active connection authenticated through your Organization's Atlassian login can make updates to Jira issues.
Your Jira data is not permanently stored in Metro Retro when imported. Only the Jira issue ID is stored, and each time the board is opened or refreshed, the full payload of issue data is retrieved each time using those issue IDs. This is stored in temporary memory, which is removed once all Atlassian-authenticated users close the board.
Tags are a way to add additional labels to sticky notes and cards:
Tags can either be just a label or a label & value.
Tags can be customized with color and symbol.
Tags can be added by right clicking and choosing Add Tag
Tags can be quickly added by typing a #hashtag or wrapping a label/value in square brackets like this: [valueTag=50].
Tags are currently in "beta" - we'll be expanding their use and application in 2024.
Paste the link to a video to embed it into your board. Copy either the Youtube link or the MP4 link and paste it directly onto the board with Ctrl + V
.
The video will appear on your board and can be played / stopped with a single click.
Ctrl + click selects the video so you can move, resize and delete it.
To slap someone, hold the space bar and fling your cursor through their avatar to send them flying (with bonus sound effects). If you find slaps annoying, disable them in the user settings.
We built Metro Retro so that all actions on a board can be programmatically executed with commands.
This means that in the future you could script an automated workshop. We're not quite there yet, but for now you can browse examples of the commands that will be available for keyboard ninjas.

From here you can scroll through the commands, or type to find a command.
This is in very early stages, so we don't recommend doing anything with it beyond browsing the commands. You'd need to know the correct parameters to type for most of the operations.

Your dashboard is where your boards and team are organized. You can navigate through it using the left navigation panel. Here you can , view recent boards, join or create workspaces and invite new team members.

You can lock any element on the board to prevent accidental edits.
Lock an object by clicking on it and selecting the lock option in the floating menu bar that appears above. You can unlock by clicking the padlock again:
There is also a lock option available when using the right mouse button.
This is a really useful command, which will lock all layout objects: text, zones, shapes and images. Right-click anywhere on the board background to see this option:
In order to configure Azure SSO integration with Metro Retro you will need:
Admin access to your Metro Retro account.
Admin access to your Azure portal (with permission to add Enterprise Applications).
One or more authorized domains adding to your Metro Retro account (see end of article).
A note of your organizations Metro Retro Account ID.
From within the Azure portal, search for and select Enterprise Applications from the resources palette, click New Application and then Create your own application. Set the name as Metro Retro and select Integrate any other application you don't find in the gallery if not already selected.
Click Create.
Select Single sign-on from the left menu (or getting started quick link) and select SAML as the sign-in method.
Leave the default User Attributes & Claims settings, as per the screenshot above. If the defaults are different or you have changed them, please set them as above.
Next, download the Base64 encoded Certificate file from Section 3. Make a note of the Login URL and Azure AD Identifier from Section 4. We will need all these values to configure the Metro Retro side of the integration.
Go to your Metro Retro account administration screen and navigate to Single Sign-On. Map the values from Azure to Metro Retro like so:
Entry Point = Login URL
Issuer = Azure AD Identifier
Certificate = Text content of the Base64 certificate file
Once added, click Save Configuration. We recommend leaving the "Restrict login" setting off until you are sure all your team members are able to login via SSO otherwise it may block their access.
If you have not already had your authorized domains configured by a Metro Retro team member, please contact us on Intercom or at contact@metroretro.io to set these up. The domains should include all domains that your team will login from.
Authorized domains allow us to redirect users from Metro Retro to your SSO Identity Provider if they login directly via our login interface rather than going via your service portal. They are not required, but recommended.
Before you begin, you will need your organization's 12 character Metro Retro Account ID. You can find this in the under the management menu within Metro Retro:
Under Basic SAML configuration, enter your Metro Retro Account ID number as the Identifier (Entity ID) and set the Reply URL to . Leave all other fields in this section blank.
In order to configure Google SSO integration with Metro Retro you will need:
Admin access to your Metro Retro account.
Admin access to your organization's Google account.
One or more authorized domains adding to your Metro Retro account (see end of article).
A note of your organizations Metro Retro Account ID.
From within the Google dashboard, choose Apps > Web and Mobile Apps from the left hand navigation. Then, click Add App and choose Custom SAML App.
Click Continue.
Copy the settings from the Google screen into Metro Retro as follows:
For "Entry Point" use the "SSO URL" value
For "Issuer" use the "Entity ID" value
For "Certificate" use the "Certificate" value (note will be quite large).
Once copied, click Save.
Back on the Google page, click Continue.
On this screen we configure the Google side with the configuration it needs to communicate with Metro Retro.
Input the following settings:
For "ACS URL" use https://metroretro.io/login/saml
For "Entity ID" use your Metro Retro Account ID (see above on where to find this).
Leave all other settings as their defaults.
Click Continue.
The final step is to configure which profile values Google will send to Metro Retro. We need to map three of these:
"First name" should be mapped to firstName
"Last name" should be mapped to lastName
"Email name" should be mapped to email
Click Continue to complete the setup wizard.
Depending on how your organization is configured, it's likely that Metro Retro will be OFF for all users by default. You can control which users have access to the app via the User Access screen available from inside the App information panel. The easiest way to configure this is to set the app ON for everyone.
If you have not already had your authorized domains configured by a Metro Retro team member, please contact us on Intercom or at contact@metroretro.io to set these up. The domains must include all domains that your team will login from.
There are four roles in Metro Retro. The Owner has the most permissions, Guest has the least:
The Owner is the top-dog role. They have all the powers of an Admin and Team Member, but are the only role that can manage Billing.
Admins can manage the people, workspaces, & security settings of your Organization space, but not Billing settings. They also have all the functionality of a Team Member.
This is the standard role in Metro Retro for team members. Members can participate on all boards, run meetings, as well as create their own workspaces & boards.
Guests can only access the boards they are invited to. They cannot access the team dashboard or workspaces, but do get a Guest dashboard that shows the boards they have previously visited in the Account.
Invite by email
Any member, Admin or Owner can invite others by email. The recipients will receive an invite in their inbox to join your organization space. Depending on your organization access security settings, you may need Admins to approve the request first.
Invite Link
Admins and Owners can generate an invite link to share with others, instantly adding them to the Account.
Removing a person from an Organization does not delete their user account.
If a person was removed accidentally from the Organization, they can be re-added.
Admins can promote other people in the Organization to Admin.
Admins can also demote any other Admin (including themselves) to a regular Team Member or Guest.
Whether you're looking for a template for your next meeting, or just need a spark of inspiration, Metro Retro has a range of pre-made templates available to use instantly.
You can preview all templates in the Template Library, accessed from the left menu. All standard templates are listed in their categories, and you can preview each board in full before using it.
In addition, teams on paid plans can add their own custom templates to the Template Library.
All templates are available to view and use in the Template Library. Click into one of the categories to view the associated templates:

Boards created from the Template Library are added to the Default workspace, which is accessible to all team members of your Organization. Move the board to a workspace if you need to restrict access.
If your Account is on a paid plan, you can add your own boards and folders to the Template Library for everyone in your Account to use. All boards and folders in the Template Library will be displayed when creating boards in workspaces:
To add a custom board to the Template Library, simply publish a board to templates when in Design Mode. Alternatively:
Copy the URL of a board that you want to make a template of
Go to Template Library and enter an existing folder or create a new one
Select 'Add Template', then paste the board URL and save.
The board is cloned to create the custom template. Note - this is a one-time snapshot clone, so any changes you make to the original board will not affect the template.
This custom template will now be available for everyone in the Account to use when they create a board.
You can update a custom template by editing the source board and republishing the template when in Design mode.
Anyone in the Account, except for Guests, can access the Template Library.
All Organization members can access and participate on boards, as well as create their own workspaces and boards.
Organizations on a paid plan can:
restrict who can become a team member by using domain-based access control & approval mechanisms.
Setup Single Sign-on (SSO)
Invite Guests (external collaborators) to their board. Guest accesss is restricted to just the board shared with them.
Guest support and Account security controls are premium features and therefore not available to accounts on our Free Plan. Boards created under Free will be always open to anyone who has the board link, as they were in Metro Retro V1.
In addition, anyone that joins a board or a workspace on a Free plan becomes a full team member of the Organization.
They can then view and edit all boards, create their own workspaces and boards, and invite others to the organization space.
Under Paid Plans, you are able to restrict access to the organization and set joining rules with the Access Control setting (see below 👇), or through integration with your Single Sign On provider - available on the Early Adopter or Enterprise Plan.
You can control who has access to your Organization with Access Control.
Simply add your Organization domain(s) to Access Control to allow automatic access to anyone logging in with email addresses from your domain(s).
If you do not whitelist any domains, when you share a link with others for the first time, they will need to request to join the organization.
Please see the next page for the SSO details.
Workspace management within Metro Retro can be found by clicking the settings icon at the bottom left of the dashboard UI and choosing Workspaces from the following menu. Only admins can access this screen.
Admins can see a list of all Workspaces in the Organization, and can manage them. They cannot see the content of Workspaces unless they join them.
Admins can create Workspaces, giving them a name and setting the privacy, and can optionally add themselves as a Workspace member (or not).
An Admin can change a Workspace’s privacy setting.
An Admin can add any Account member to a Workspace, even private workspaces.
An Admin can remove an Organization member from a Workspace, even private workspaces.
Workspaces can have zero members.
An Admin can delete a workspace. The workspace will be removed from the Organization. All boards will be archived, and the folders will be deleted.
If an Organization Account has strict access rules, or a user is invited that does not have a trusted domain, then the Admins of the space will need to approve the invite before it is emailed to the invited person.
Equally, if a new user requests access to the Organization Account and their email isn't one of the trusted domains, this will need to be approved by Admins.
If a non-Admin invites someone to the Organization Account, and their email address domain is not whitelisted, or they are not provisioned in the Organization's SSO solution, all Admins of the Account will be sent an email requesting approval of the invite. Once approved, the invited user will be sent an email to join the Organization.
If someone outside the Organization tries to access a board or workspace, but their email address is not in the trusted domains, the Admins of the Account will all receive an email asking them to approve (or deny) the access request.
The Admin role
Admins are members of the Organization that can manage people and invites, workspaces, security settings, and the subscription.
Admins can:
Manage team members.
Manage Workspaces.
Promote and demote other people to Admin, including themselves.
Manage the Access and SSO settings.
Manage team invite approvals
Only individuals designated as Admins can access the Admin management screens.
Owners have the same permissions as Admins, but they can additionally manage the subscription and billing for the Organization space.
In order to configure Okta integration with Metro Retro you will need:
Admin access to your Metro Retro account.
Admin access to your Okta account.
One or more authorized domains adding to your Metro Retro account (see end of article).
A note of your organizations Metro Retro Account ID.
Click Next.
Under Attribute Statements, add the following mappings:
firstName (basic) -> user.firstName
lastName (basic) -> user.lastName
email (basic) -> user.email
Click Next.
Choose "I'm an Okta customer adding an internal app". You may optionally fill in any other fields on this form that are appropriate for your organization, they are not required for the integration to work.
Click Finish.
You should see the screen below, if not, click View Setup Instructions. The three values on the setup screen need to be added to Metro Retro under Management / Single Sign-On.
Once added, click Save Configuration. We recommend leaving the "Restrict login" setting off until you are sure all your team members are able to login via SSO otherwise it may block their access.
If you have not already had your authorized domains configured by a Metro Retro team member, please contact us on Intercom or at contact@metroretro.io to set these up. The domains must include all domains that your team will login from.
Metro Retro supports Single Sign-on via the SAML2 protocol. Please note that for all providers a set of authorized domains need to be configured for your account and currently must be done by a Metro Retro team member. Please drop us an email at contact@metroretro.io or speak to us on Intercom to get this started.
Before you begin, you will need your organization's 12 character Metro Retro Account ID. You can find this in the under the management menu within Metro Retro:

Here we will configure Metro Retro with the settings it needs to communicate with the Google IDP service. To do this, open a new tab/window in your browser and go to .

To remove a user from your Organization, find their user entry in the list displayed in the , and click 'Remove Person'. This removes their access to the Organization and all content within. The workspaces, folders and boards they created will still be available for others in the Organization to use.
Removing an individual when on a monthly paid plan may adjust your .
When they request access all Admins will receive an email, from which they can that person's entry as a team member.
The settings determine how strictly invites to the Organization space are managed, and if invited users need to be approved by Admins.

Both monthly and annual subscriptions are calculated from the number of members in your organization.
You have controls to set limits on your team numbers:

If you have any questions about your Plan, please use the support chat or email us.
Monthly plans are "flex" plans. As you add or remove people from your organization, your subscription will be updated pro-rata to reflect the changes. Your next monthly bill will reflect the changes.
You can apply a "seat limit" in the subscription settings to cap your flex allocation from going too high (and costing over your budget). The Seat Limit is optional, and can be changed or removed at any time.
If you exceed the seat limit, new people can still join the organization but are automatically assigned to the Guest role. This is a limited role that is free of charge, so they aren’t included in your billing.
People with the Guest role can participate on boards they are invited to, but they cannot create boards, view the team space, or run meetings.
When setting up an Annual Plan you choose the number of seats up front and this is how much you are billed for the year.
You can add additional seats to your Plan at any time in Billing Management. You will be billed immediately for the new seats, the amount is calculated pro-rata on the time remaining in your Plan.
You cannot decrease the seats on an annual plan, but you can free up seats by removing old team members or setting people to the (free) Guest role.
To cancel your Plan, follow these steps:
In the Settings, choose 'Cancel Subscription'.
Confirm cancellation
Return to your Billing Settings. You may need to refresh to see the updates.
You can see the date that your Organization will be downgraded to the Free Plan.
Your boards will lose their privacy settings and revert to "open to anyone with the link".
Anyone who has a link to a board can then join the account as a team member.
It will not be possible for people to join your boards as a Guest - everyone must be a team member to participate on a board.
If you had set up integration via SSO that will no longer function as a sign-in route.
You won't be able to create any further workspaces.
The four active boards limit will be reinstated across the account.

From the top of the "All Boards" screen in your dashboard, or from the top of any workspace, click the dropdown and select "Import Legacy Boards". Choose the v1 boards you want to import and copies will be created immediately and displayed in your dashboard.

You get up to 10 external guests free on every board. Guests do not need to signup, and may use a temporary profile. Guests cannot access the team dashboard.
The subscription is tied to your organization space, not an specific user. When you choose the Pro plan, you can select which members to upgrade. The rest will be demoted to external guests. You will be charged for each member you add to your organization space.
You can add or remove team members at any point. If you are on the monthly plan, your bill will be updated pro-rata.
You can cancel your subscription at any time and won't lose access to any of the boards you've created. You will keep your plan benefits until the end of the current billing period. Organize your teams and boards with workspaces
Use Workspaces to organize your team boards:
We suggest creating a workspace per team, as well as a workspace per department.
For example, make a workspace for each devliery team, plus a workspace for the Agile Coaches, and a workspace for the Product Managers... etc. You can also create personal workspaces.
Any team member can create a workspace, and can invite any number of members.
Workspace members can invite other people, as well as rename, move, clone, and delete workspace boards.
Public workspaces are visible to everyone and can be joined by anyone within your Organization.
Private Workspaces are only visible to the members of that Workspace (and Admins), and require an existing workspace member to invite others to give them access.
Boards in a public workspace can be joined instantly by anyone in the organization, whereas boards in a private workspace are protected by default.
The Workspaces you belong to are displayed in the left menu.
Click on a Workspace to view it, or click on the '+' button next to the Workspaces title to see all available public workspaces. From here you can also create new Workspaces.
Note - private workspaces are hidden from this list.
Create a Workspace from the Workspace Browser. Give it a name and description, and choose whether the Workspace is public or private.
Anyone in the Organization can see and join a public workspace, using the workspace browser:
Because Private Workspaces are hidden from the Workspace browser, you must be added by an existing member. Ask them to invite you to the Workspace.
Invite other people to your workspace:
Use Folders to further organize boards in your Workspace.
Folders are only one level. You cannot create sub-folders (folders in folders).
There is no limit on the number of folders in a Workspace.
There is no limit on the number of boards in a folder.
Folders can be re-named by any workspace member.
Folders can be deleted. If there are any boards inside a folder when it is deleted, the boards will be moved to the root of the Workspace.
Metro Retro's tools are designed for productivity, interaction, and fun!
There are two main categories of tools:
Board editing tools like shapes, text tool, and zones.
Collaboration tools like sticky notes and voting.
The "Start Meeting' button is at the top of the toolbar. Use it to enable meeting controls, including private writing, a timer, polls, anonymous mode, choosing participant tools, and the ready check functionality.
The person that starts a Meeting becomes the Host, and everyone else becomes a participant. Participants are unable to unlock the board layout or use the meeting controls. The Host can add other people on the board as co-Hosts.

Sticky notes are the main object you'll use in Metro Retro. Double-click anywhere on the board to create a sticky note, or use the toolbar to pick the color first. Note - on some templates, the color of a sticky note can be overridden by a zone's color settings.
Sticky note facts:
There are two sizes of sticky note: regular and big. To change the size of a sticky note, drag from the right-hand edge.
Each sticky is associated with its creator - hover over a sticky note to see who made it. (Use Anonymous mode to not track who wrote each sticky note).
Each person has a different handwriting style when writing sticky notes. Change your handwriting style in your Preferences.
When in Meeting mode, each person can hide and reveal their sticky notes as they wish.
You can write, vote, add reactions, draw on, and group sticky notes.
These are just like real-life Index cards. Use these to write more text than you can fit on a sticky note. You can also stamp reactions, draw, and vote on Index cards.
Private writing works with Index cards - you can hide and reveal anything you're writing while the board is in Meeting mode.
Index cards can be expanded - drag from the bottom of the card to make it longer.
Task Cards are cards that you can write in, with separate title and body fields.
Task cards are similar to sticky notes, except they do not have private writing and can't be grouped with the Topic tool.
Once you have added a Timeline Frame to your board, add the roadmap cards to represent your streams of work:
Roadmap cards have the following properties:
Name
External link (for linking to related documents)
Tags (used for labelling with things like initiatives, cost, OKRs etc)
Dates (including delayed / earlier dates)
Colour
Use the Topic tool to group similar stickies. It helps organize sticky notes into themes.
To use a topic: Open the Topic tool, choose a color, and click to add to the board. Write the name of the topic inside, and then drag sticky notes toward it. The Topic will automatically group the sticky notes. To ungroup sticky notes, just drag them out of the group.
You can pick up a topic and it will bring any associated stickies with it.
Tokens look similar to poker chips and can be used in a variety of ways - icebreakers, estimation, team health checks, planning poker, and workshops.
There are a set of pre-made tokens with emojis or your team pictures, as well as blank tokens that can be edited.
Tip - Double click a token on the board to edit it. You can also add an emoji to a token on the board, using the reaction tool.
Connectors are arrows that link objects in your board, allowing you to visualise relationships or create simple diagrams.
Connectors can be linked to sticky notes, task cards, index cards, roadmap cards, Jira cards, and tokens:
You can pick straight, bendy or angled arrows:
You can add a label to an arrow, and change the connector color, width, line style, start and end points:
Tip - to make multiple connectors quickly, press the R
key after placing an arrow to place another. Or use the the "Create Another" option in the arrow options bar:
Zones are the primary object for laying out your board sections.
Zones can be any size, they have a title and emoji field, and can override the color of sticky notes inside them.
Click on the title or on the edge of a zone to select it.
Activity frames are a way to organize different areas of your board.
For example, if you run a workshop with different activities, you can surround each activity with an Activity Frame, and hide the later sections until it is time.
Activity Frames have a sheep icon in their menu bar which you can use to pull ("herd") everyone to the Frame immediately.
The Timeline Frame allows you to create a pre-formatted timeline with dates that you can use to plan projects or events.
The Timeline Frame is configurable in the following ways:
Header & background colour
Choose Start Month and how many months to span
Add or remove additional rows - useful for different streams of work
Set auto-arrange options for content inside the rows and columns. ! Note - this feature is in Beta and dynamically moves your content around. Use Undo if you want to reset after trying this.
Grid Frames are layout objects with configurable rows and columns to contain content.
You can use Grid Frames to arrange content in tabular form.
Grid Frames can be configured with any number of rows and columns, and have content-arranging options:
You can add shapes to your board, with a range of styles.
Tip: The Container property for shapes and images can be turned on and off - setting whether it is a flat layer or will "contain" all objects placed inside it. When a shape contains other objects, they will also move when you move the shape.
You can add arrows as shapes to your boards. They can be found in the shape menu:
Drag from the ends of the arrow to reposition it:
Drag-and-drop or copy-paste images directly on to your boards, but you can also use the image tool to search through a free image library, or add images by their URL.
Once an image has been added to the board, it can be resized and moved.
Reaction emojis can be stamped on almost any object. Pick your reaction and click where you want to place it!
To remove a reaction, right-click on the stamped reaction when the reaction tool is equipped.
The Voting tool allows you to hold a group vote. You can vote on stickies, topics, index cards, and task cards.
To start a voting round, click the Voting tool in the toolbar, then click the 'Start Voting Round' button that appears in the bottom left. Choose how many votes each person gets, and if they can vote on the same item twice. Once you start the round, ask everyone to equip the voting tool and to vote on their choices by clicking on them.
To view the voting results, use the ranking results button in the bottom left. You can choose to view ranks for individual stickies, or for the topic total. This sums up all votes on the topic itself as well as the stickies inside the topic.
You can attach comments to sticky notes, task cards, and index cards.
Draw on zones, shapes, sticky notes, and index cards with the marker pen. It draws directly on the object. To erase pen markings, hold right-click and wipe over the markings.
Gadgets make your team sessions more interactive, and dare we say... fun.
Gadgets are added to the board as an object and can be moved around, locked, or deleted as needed.
In the gadgets you will find:
A music player (Jukebox) - Pick your track and play music to everyone on the board.
A Timer - set the time for an exercise.
A Spinner - add your options and hit spin!
A Counter - the counter counts up and down.
A Buzzer - pick a sound effect, then hit the buzzer to play it!
Gadgets are only available while in Design Mode, or the Meeting Host can enable the Gadgets tool during Meeting mode.
When the Gadgets tool is enabled, anyone can use it, including Guests.
Gadgets can be locked in place to prevent editing or deletion, but are still interactive while locked.

Both the standard templates and any custom templates you save to the Template Library can be added to your board
Templates are added with an Activity Frame, which you can remove if not needed
Templates that are added here are unlocked. Make sure to lock them before use.
Gestures are visual functions that appear above the board but do not affect the content. They are for presenting ideas and interacting with your colleagues. There are four functions in the Gestures menu:
A ping is an arrow you drop on the board to point at something. Click once to drop a single arrow or click-and-drag to highlight over an area.
Off-screen pings are shown at the side of your screen. Click an on active ping to be taken to where it is pointing.
Tip - you can drop a ping on the board at any time by pressing the Tab key. An arrow will appear at your cursor's positon.
The vanishing pen lets you draw a temporary annotation on the board. It is useful for drawing attention to items on the board without permanently drawing on them.
There may be imitations, but this is the original. Click and drag to aim, then release to fire confetti. We won't lie, it's kind of addictive.
Pick this option to throw your hat across the board, of course. Similar to the confetti, click and drag to aim, then release to throw the hat.
Tip - in order to throw a hat you must be wearing one, so pick a hat to wear by clicking on your avatar in the top right:
Press the H
key to bring you back to the center of the board.
Press the Tab
key to drop a ping arrow.
Press the W
key to open the Gestures menu, then press a 1-4
key to select the appropriate gesture.
The Business Plan is ideal for working with larger groups of external guests, while knowing that your team dashboard is secured with your Single Sign On solution.
Each team member requires a paid license, and has all functionality.
Simply share a board link with someone and they will automatically join the board as a free guest. Guests do not need to signup or login to participate on your boards.
Guests can only view the boards you share with them, they cannot access the team space or other boards.
The Business plan is $25 per member per month, or $250 per year (before VAT / sales tax).
You can start a 30 day free trial, which unlocks:
unlimited active boards
free guests (unlimited on Business plan, up to 10 per board on the Pro plan)
You can only start a trial once per Organization space.
You can upgrade at any time while in the trial.
